Questions to Ask Before You Book Your Wedding Band

But if you’re handling your vendor bookings on your own, it’s important to know exactly what to ask. Live music can set the tone for your entire wedding day, so asking the right questions ensures you’ll get the experience you’ve been dreaming of.

As professional wedding planners and coordinators who work with bands often, we’ve put together a list of key questions to ask before (and after) you book your wedding band. This will help you feel confident in your choice and make sure your wedding soundtrack is everything you’ve imagined.

1. Do you offer ceremony sound support?
If your ceremony needs microphones, speakers, or other audio equipment, make sure to ask if the band can provide it. Knowing this ahead of time will save you from scrambling for extra equipment or vendors later.

2. Do you provide entertainment for the ceremony and cocktail hour?
Some bands stick strictly to reception performances, while others can provide music for the ceremony, cocktail hour, or even both. It’s important to know what’s included so you can plan your timeline and ensure you have all the vendors you need.

3. How many hours of playtime are included in the package?
Every band’s packages are different. Some include only a few hours of music, while others can play the entire wedding. Make sure you know exactly what’s included so you don’t end up paying extra for overtime unexpectedly.

4. How many breaks does the band require, and for how long?
Live bands need breaks, and it’s important to understand when and how often they will take them. Ask how music will be handled during these breaks, will they play recorded music, or have a live DJ step in? This ensures your dance floor never goes silent at the wrong time.

5. Do you require a stage, and if so, what size?
Some bands perform on the floor, while others need a stage to accommodate all their members and equipment. Knowing this ahead of time will help you coordinate with your venue and floor plan.

6. Do you require a green room, and what should be in it?
A green room is a private space for the band to prepare, store belongings, and take breaks. Ask if they need one and what it should include i.e water, snacks, a full-length mirror, clothing racks, etc. Preparing this in advance keeps your band happy and ready to perform at their best.

7. How do you gather song selections?
Will the band provide a portal, Google Doc, or form for you to submit your song selections and must-play songs? Clarifying this ensures your favorite songs are on their radar and keeps the process organized.

8. How do you handle guest requests?
Some bands are happy to take requests, while others stick strictly to their setlist. Knowing their policy will help you set expectations with your guests.

9. Do you provide MC services, or do you strictly perform?
Some bands act as emcees, making announcements, introducing toasts, or guiding the reception flow. Others focus solely on playing music. Understanding this helps you decide if you’ll need someone else to MC.

10. Is there a fee for learning new songs?
If you have a special song in mind that’s not in the band’s standard repertoire, ask if there’s a fee for them to learn it. This keeps surprises off your budget.

11. What styles and genres do you specialize in?
Every couple has a different vibe for their wedding. Make sure your band’s musical style matches your vision, whether it’s classic jazz, pop, or a mix of everything.

12. What size bands do you have available?
The size of the band can impact both the sound and your budget. Ask about their options and what works best for your venue and guest count. Typically, our couples book a 7-10 piece band for reference.

13. What makes you stand out from other live wedding bands?
