Wedding Contracts 101: What Couples Should Look for Before Signing
You found a vendor you love, received the proposal, and you're ready to officially check another item off your wedding planning checklist! Before you sign on the dotted line, it is important to take a little time to read through your wedding vendor contract carefully.
Wedding contracts may not be the most exciting part of wedding planning, but they are incredibly important. Your contract outlines what you're paying for, what your vendor is responsible for, when payments are due, and what happens if plans change.
While every vendor contract will look a little different, here are some of the most important things we recommend couples review before signing.
1. Make Sure the Services Are Clearly Defined
First, make sure you understand exactly what you're paying for. Don't just look at the total price. Review the services and deliverables included in your package and make sure they match what you discussed with your vendor.
Depending on the vendor, this could include:
Hours of service
Number of team members
Setup and breakdown
Deliverables
Number of photos or hours of coverage
Rentals or decor items
Additional services or add-ons
If something was discussed during your consultation but isn't listed in the contract, ask about it before signing.
2. Review the Payment Schedule
Your contract should clearly outline how much you owe and when each payment is due. Pay attention to:
Your initial retainer or deposit
Payment schedule
Final payment deadline
Accepted payment methods
Late payment policies
Whether payments are refundable

3. Understand the Cancellation and Refund Policy
This is one of the most important sections of any wedding vendor contract. Life happens, and plans can change. Before signing, make sure you understand what happens if you need to cancel, postpone, or reschedule your wedding.
Look for information about:
Cancellation by the couple
Cancellation by the vendor
Retainer or deposit refunds
Rescheduling policies
Date changes
Force majeure circumstances
Don't hesitate to ask questions if the language isn't clear. You want to understand these policies before you need them.
4. Look for Overtime and Additional Fees
Your initial quote may not include every possible expense, so look for language regarding additional fees. Depending on your vendor, you may see charges for:
Overtime
Travel
Setup or breakdown
Additional staff
Delivery
Service fees
Gratuity
Ask your vendor if there are any additional costs you should anticipate based on your wedding plans. Knowing these expenses ahead of time can help you avoid any budget surprises later down the road.
5. Double-Check Your Wedding Date, Venue and Service Times
This may seem obvious, but it's worth double-checking! Make sure your contract lists the correct:
Wedding date
Venue
Service location
Start and end times
Setup time
Breakdown time
As your wedding day timeline comes together, service times may change. If you make changes after signing, make sure those updates are documented with your vendor.

6. Understand Your Vendor's Responsibilities
Your contract should outline what your vendor is responsible for providing, but it may also include responsibilities for you as the client. For example, a vendor may require:
A designated point of contact
Access to the venue at a certain time
A meal for their team
Specific information by a certain deadline
A final guest count
Payment by a specific date
Understanding everyone's responsibilities helps prevent confusion as the wedding day approaches.
7. Ask About Backup and Substitution Policies
It's not something couples love to think about, but it's important to know what happens if your vendor is unexpectedly unavailable. Ask questions like:
What happens if you're sick on our wedding day?
Do you have a backup team member or associate?
What happens if an item we've selected becomes unavailable?
Can another professional step in if there is an emergency?
Many professional vendors have backup plans in place, but it's important to understand what that plan looks like.
8. Review the Insurance and Liability Information
Some vendors and venues require certain types of insurance, while others may have specific liability policies included in their contracts. You don't need to be a legal expert to understand this section. If something isn't clear, ask your vendor to explain what it means and what, if anything, you're responsible for providing.
Your venue may also have separate insurance requirements, so be sure to understand how those requirements fit into your overall wedding plans.
9. Make Sure Everything You've Discussed Is in Writing
This is a big one! If your vendor told you during a consultation that something was included, don't assume it automatically becomes part of your agreement. If it's important to you, make sure it's in writing. That could mean having the item added directly to the contract or having a written confirmation over email or text from the vendor. Emails, proposals and invoices can all help create a clear paper trail of what you've agreed upon.

10. Keep All of Your Contracts Organized
Once you've signed your contracts, don't just file them away and forget about them! Create one central location for all of your wedding documents. This could be a digital folder, wedding planning platform, or physical binder.
