While every venue handles walkthroughs a little differently, most follow a similar structure. Here's what you can expect during your final venue walkthrough and how to make the most of it.

Meet with the Venue Team

Most walkthroughs begin with a sit-down meeting with your venue coordinator or representative. During this time, you'll review important details about the venue's policies, procedures, and expectations for your wedding day.

As your wedding coordinator or planner, we'll help lead this discussion and ensure all logistics are clearly communicated between the venue and your vendor team.

This is when you'll discuss items such as:

  • Vendor list and arrival times

  • When music must end

  • Alcohol service rules and restrictions

  • Parking and transportation logistics

  • Venue access for setup and breakdown

  • Any venue-specific guidelines or requirements

  • Venue exit checklist

Walk Through Each Event Space

After reviewing logistics, you'll typically walk through each area that will be used throughout your wedding day.

This may include:

  • Ceremony space

  • Cocktail hour location

  • Reception area

  • Bridal suite

  • Groom's suite

  • Outdoor spaces

  • Guest arrival and parking areas

As you move through each space, your coordinator/planner will help walk through the flow of the day from a guest perspective, discussing how guests will move from one portion of the celebration to the next. One of the most important parts of the walkthrough is confirming your layout.

During this time, you'll review:

  • Ceremony seating arrangements

  • Dance floor location

  • Bar setup

  • Gift and guest book tables

  • Lounge areas

  • Etc.

Your coordinator/planner will also help confirm that the layout supports your timeline, guest experience, and overall wedding vision. Having a clear understanding of where everything will be placed allows both the venue and your vendor team to execute the day smoothly.

Ask Any Remaining Questions

Your final walkthrough is the perfect opportunity to ask any lingering questions before the wedding day arrives.

  • Inclement weather backup plans

  • Venue staffing on wedding day
